DISCLAIMER

By submitting an application, allowing your child to attend a class, attending a class yourself, or being present at any AFC Whyteleafe Youth or affiliated events, you agree to these Terms & Conditions. You also commit to adhering to our Code of Conduct and all related policies.

All students, parents, staff, and volunteers must comply with these rules. AFC Whyteleafe Youth, its staff, and volunteers cannot be held responsible for any negligence in following these policies.

SECTION 1 – GENERAL INFORMATION

This class is covered by a regular monthly payment.
Subscription:
Your subscription covers a full year of term-time classes. The total annual cost is divided into 12 equal monthly payments rather than being charged per session, so the amount stays the same each month regardless of how many sessions fall within it.

✅ Subscription payments come out on the 1st of each month.

How we work out the monthly price: We count up all the scheduled classes in the year and divide by 12 months to spread the overall cost, making it easier for parents to afford. Some months have 5 sessions, others 4; the minimum is 2, which usually falls in April. Dividing by 12 rather than 11 is what keeps each monthly payment low.
August: Classes don't run in August, but payments are still due. August is part of the annual total, not a payment for that month's sessions. If August were excluded, every other monthly payment would be higher. During August, every subscribed child is offered a free day (or days, depending on the subscription) at a Supreme Camps Summer Camp, worth £30.00 per day. This is a gesture of goodwill and is entirely separate from your August payment. It is not a refund, a credit, or a substitute for that payment, and it cannot be exchanged for money off your subscription. To claim it, book the day as usual through the booking system and let us know, and we'll adjust the invoice on our end.
Joining mid-month: You'll be charged a cover fee for any classes attended before your first subscription payment on the 1st. The cover fee is the price of one class multiplied by the number of classes between your booking and your subscription starting.
If a payment fails: Our system will automatically retry on the 4th and 9th. Your child won't be able to access their class until payment is received, and the monthly fee remains due in full even if a class is missed as a result. This usually happens when a card has been replaced; you can email us for a link to update your details.
Sibling discount: We offer 25% off the 2nd child's monthly booking. Please message us so we can apply it to your account.
⛔ Stopping your subscription: We require 1 month's payment notice to cancel. Once your cancellation form is submitted, you'll have one final payment to make and full access to classes in your final month. Classes automatically roll over each term to secure your child's place, including in September, unless a cancellation form is completed.

Refunds: We're unable to issue refunds or credits for missed classes, holidays, or other commitments, or for those who leave mid-month. If a class is cancelled due to circumstances beyond our control, such as extreme weather, school closures, or decisions made by the school or venue, no refunds, credits or make-up sessions can be issued.

SECTION 2 – CANCELLATION POLICY

  • To cancel a subscription, you must provide one month’s notice.

  • After submitting notice, one final payment is required, and you will retain access to classes for that month.

SECTION 3 – REFUND POLICY

  • SSUFC does not provide refunds for holidays, other commitments, or mid-month departures.

  • No refunds or credits are given for missed classes.

  • For long-term illness or injury, a medical note must be provided for review. We may, at its discretion, freeze the subscription, move the child to a waiting list, or offer an alternative solution.

SECTION 4 – REGISTRATION, ATTENDANCE, AND ABSENCE

  • Inform SSUFC of any absence preferably via WhatsApp, or alternatively by email or phone.

  • If a session is cancelled due to coach illness, unforeseen circumstances, or public health concerns, SSUFC will attempt to reschedule, provide an alternative day/time, venue, or online session.

  • No refunds will be issued if a session is rescheduled or an alternative is offered.

SECTION 5 – RIGHT TO ATTEND, CLASS CHANGES & WITHDRAWAL

  • Current members are automatically enrolled each month and guaranteed a spot in their chosen class.

  • Missed sessions cannot be swapped for other classes.

SECTION 6 – DISCOUNTS

  • A 25% sibling discount is available for the second child enrolled in SSUFC classes or offerings.

  • Discounts are applied after booking and entering payment details; subscriptions will be updated to reflect the discount.

SECTION 7 – HOLIDAY CAMPS

  • Payment for holiday camps must be made in advance via the online booking system.

SECTION 8 – PHOTOGRAPHY & MARKETING

  • Children’s names will not appear alongside photographs or videos in any marketing material.

  • Registration forms include an option to consent to photography or video use for marketing purposes.

SECTION 9 – CHILDREN’S INFORMATION & SPECIAL REQUIREMENTS

  • Parents must inform AFC Whyteleafe Youth of any medical conditions, ensuring necessary medication or devices are provided for sessions and matches.

  • Emergency contact information and child details must be kept up-to-date.

  • If your child requires special support, please notify us prior to booking to discuss suitability.

  • Trial participation is available on a paid basis to assess suitability.

  • SSUFC does not provide one-to-one support.

SECTION 10 – PRIVACY

  • Parents and attendees can request that their information be corrected, updated, or removed by contacting: info@whyteleafefc-youth.co.uk

  • Requests for information on the data we hold can also be made.
